Mentorfy charges a fixed annual rate per member based on your program size. No complex calculations, no monthly variance, no "active user" debates.


What's a member?
Anyone in your program—mentors and mentees. Program administrators and coordinators don't count toward member limits and can't participate as mentors or mentees.

That's a program design question, not a pricing question. With our fixed annual model, you're not penalized for low engagement—but you should fix your program, not celebrate paying less because it's failing.

Focus your energy on driving engagement (we can help with that), not arguing with your vendor about who was "active."

Yes. We pro-rate new members added mid-cycle at the same per-member rate. Your predictability stays intact.

Example: If you're on Pro at $110/member and add 20 members in month 7, you'd pay: 20 × $110 × (6/12) = $1,100 for the remainder of the year.

Your renewal adjusts to your new program size. No penalties, no forced commitments to maintain higher levels.

Aligned with mentoring best practices, billing is annual and payable on an annual basis. This ensures we are able to continue rolling out features that you've asked for, maintain the platform and keep our team focused on serving you instead of them worrying about how to pay their bills.

Everything is included except:

We believe in 100% transparency. Here’s our simple, honest answer:


1. For Product Support (Using the Tool): $0.The Mentorfy platform is built on Purposeful Simplicity. It's intuitive, requires no training, and you can launch in an afternoon. Basic technical support on how to use the software is always free.

2. For Strategic Consulting (Building Your Program): This is a separate, paid service.We know using software is different from designing a world-class mentoring strategy.

If you need expert help designing your D&I program from scratch, building your EROI business case for your CFO, or running a leadership workshop, we offer this as a separate strategic service.


Our Promise: We will never bait-and-switch you. The software is simple and ready to use. The expert-level strategy is a valuable, optional service. You only pay for what you need.

We can't speak to their exact pricing (most don't publish it), but here's what we know:

Why minimums? Honestly, below 100 members, spreadsheets and email still work reasonably well especially if you have the time and head count. We'd rather be transparent than charge you for a tool you probably don't need yet.


At 100+ members, coordination becomes chaos, manual matching is painful, and platform ROI becomes obvious. Our minimums protect you from paying for software before it makes sense.

PS: If you do want to leverage Mentorfy despite having fewer than 100 members, you're still welcome to go ahead and sign-up ;). The outcome would still be worth every dime.

Absolutely. If you're in the 150-500 member range, you can start with Pro and upgrade to ProPlus anytime as your needs grow.

If you grow beyond 500 members, you'll need to move to ProPlus (it's designed for programs up to 2,000 members). We'll handle the transition smoothly.

Our pricing is already designed to be accessible for organizations of all types. The ranges we show apply to nonprofits, education, and corporate clients alike.

For very large programs (2,000+ members), we offer volume pricing that brings per-member costs down further.

You'd transition from Pro (max 500) to ProPlus. We'll handle the upgrade smoothly, and you'll get access to all ProPlus features (custom domain, priority support, advanced analytics and more).

New cost: 600 members × ProPlus rate. We'll pro-rate the difference for the remainder of your current annual term.

Most programs are live within a few hours - especially if you have all the information you need to set up your program. In fact, a client of ours went live in less than an hour! 45min to be precise! Complex implementations that require custom integrations may however take 2-3 weeks.

Most mentoring best practices recommend 1:1 dedicated relationships for optimal outcomes. Pro tier is designed for focused, high-quality mentoring where each mentor gives their full attention to one mentee.

ProPlus and Enterprise tiers allow experienced mentors to take on additional mentees (up to 2 or 3) when organizations have mentor scarcity or want to maximize the reach of senior leaders. Each relationship remains 1:1—mentors meet with mentees individually and track progress separately.

No. Even when a mentor works with multiple mentees in ProPlus or Enterprise, these are separate 1:1 relationships. The mentor meets with each mentee individually, sets individual goals, and tracks separate progress. Group mentoring (where one mentor meets with multiple mentees together) is a different program format that we plan rolling out in 2026.

A cohort is a group of mentor-mentee pairs that start and progress through a program together with defined start/end dates. Concurrent active cohorts are programs running at the same time.

Examples:

  • January Leadership Cohort + New to Canada Professionals Mentoring Cohort = 2 concurrent cohorts
  • Q1 High-Potential Program + Q1 DEI Initiative + Rolling Peer Mentoring = 3 concurrent cohorts

Once a cohort completes, it no longer counts toward your limit.

Organizations needing more than 5 concurrent cohorts typically have 500+ members and multiple departments running separate programs—which is exactly what our Enterprise tier is designed for. Enterprise offers unlimited concurrent cohorts plus volume pricing, making it cost-effective at that scale.

Yes. If you run "New Manager Mentoring" in Q1, Q2, Q3, and Q4, each quarter counts as a separate cohort. With ProPlus (5 cohorts), you could run the same program quarterly plus one additional program type simultaneously.

We understand that not every pairing is perfect. Both mentors and mentees can request a match adjustment by clicking "Request Rematch" in their dashboard. Program administrators will review the request and re-pair you with someone better suited to your needs and goals.

Mentorfy is designed to help Canadian organizations meet PIPEDA requirements through Canadian data hosting, encryption, access controls, and user data management features. We store all data on Canadian servers and provide tools for data access, deletion, and privacy controls.

Organizations remain responsible for their own PIPEDA compliance practices, but our platform provides the infrastructure and features to support those efforts. We're continuously enhancing our privacy features based on customer needs and evolving regulations.

Yes. Users can delete their accounts at any time, which withdraws all consent and removes their personal data from the platform. Admins also have full control over user data and can remove users upon request.

Currently, admins can manually manage data retention by deleting inactive users or programs. Automated, configurable data retention policies are on our roadmap based on enterprise customer needs. In the meantime, we can work with you to implement manual retention practices that meet your compliance requirements.
